Challenge:

Global Windows and Doors is a busy manufacturing company located in Richibucto New Brunswick. Hundreds of orders are received, processed and shipped by their call centre staff each year. In the past, staff would receive requests for quotes, create proposals, and store related data and documents in a variety of formats in multiple locations. Their manufacturing software suite, which houses important product specifications, did not integrate with their existing technologies. Their invoicing system was not strategically integrated with the sales cycle, and bills were sent via traditional mail. The process was cumbersome and expensive, and staff members were experiencing challenges quickly retrieving and updating information when dealers and end users called back at a later date.

Solution:

Global Windows needed a completely customized, integrated solution to manage workflow and data from the initial sale through to final billing and accounts receivable. 

Think’s Imaging Technology Consultants installed two Sharp multi-functional print units. The units were configured with an OSA (open system architecture) to allow direct integration with a newly installed document management system, providing the ability to scan, index, store, search, and retrieve documents. Invoicing was integrated into the solution by creating an EDI file (electronic data interchange) so now, once an invoice is created, it can be stored and electronically delivered to dealers. Finally, an environment was developed to allow dealers to log onto the Global website with a username and password to view and download invoices.
